The fastest and simplest ways to check in is online or via the Virgin Atlantic app. Online check-in is open from 24 hours before your flight until 70 minutes prior to your scheduled time of departure. To check in online, visit the Virgin Atlantic official website click ‘My booking’ (top-right in the banner) and then select ‘Check in’. To access your booking, make sure you have selected from the drop-down options to search for your reservation by booking reference. The Virgin Atlantic booking reference is listed as ‘airline check-in reference number’ on your travel vouchers and ticket documents from Destination2 under ‘Your Flights’. You also need to specify the airport you are departing from and click on ‘Start check in’.

Please have the passport details ready of all passengers you are checking in and once you are in the booking, please follow the steps to complete the online check-in. This will include completing Advance Passenger Information (API) for each traveller if this is required by the destination you are flying to. Also, during the online check-in process, you can view and change your seat*, upgrade your seat*, add baggage* as well as print or download your boarding pass to your smartphone. Your mobile boarding pass can then be presented at the airport. If you have checked in online, you will still need to attend the check-in desks at the airport to drop any checked-in luggage and to complete your travel requirements. At most airports you are required to arrive 3 hours prior to your departure time.

You can select your seats to ensure you and your family or friends can sit together during the flight. You can do this by logging into your booking on the Virgin Atlantic official website, then clicking ‘My booking’ (top-right in the banner), then ‘Manage Booking’. To access your booking, make sure you have selected from the drop-down options to find your trip by booking reference. The Virgin Atlantic booking reference is listed as ‘airline check-in reference number’ on your travel vouchers and ticket documents from Destination2 under ‘Your Flights’. You also need to specify the first and the last name of the lead passenger and click on ‘Search’.

Additional charges may apply for selecting your seats based on the flight fare booked, the booking class and the type of seat you are selecting. Please note that in certain circumstances, or for operational reasons, the airline may need to change your seat prior to your departure or while you are on board.

If you need special assistance at the airport or onboard your Virgin Atlantic flight, please let the airline know as early as possible and at the latest 72 hours before your flight using the contact methods below:

• To request airport wheelchair assistance, head to the Virgin Atlantic official website, click ‘My booking’ (top-right in the banner), then select ‘Manage Booking’ to request wheelchair assistance. To access your booking, make sure you have selected from the drop-down options to find your trip by booking reference. The Virgin Atlantic booking reference is listed as ‘airline check-in reference number’ on your travel vouchers and ticket documents from Destination2 under ‘Your Flights’. You also need to specify the first and the last name of the lead passenger and click on ‘Search’. Then please complete the online process to request airport wheelchair assistance. The airport assistance team will help you from check-in, through the airport and up to the aircraft door. Upon landing at your destination, the airport assistance team will aid you through the terminal and into the arrivals hall.

Travelling with your own mobility aids:

• Manual wheelchair: If you wish to take a manual wheelchair on your trip, please let the Virgin Atlantic special assistance team know at least 72 hours before your flight by completing the online form in the link below and they will put a note on your booking. You can use your own wheelchair through the airport and up to the aircraft door. Onboard, Virgin Atlantic has space for one manual collapsible wheelchair to be stowed in the cabin. If this storage facility is being used, the cabin crew will store your manual wheelchair in the hold of the aircraft and return it to you upon landing.
• Powered wheelchair or electric mobility aid (i.e. scooter, etc): If you plan to take a powered wheelchair or electric mobility aid, please let the Virgin Atlantic special assistance team know as early as possible, but at the latest 72 hours before your flight by completing the below online form. The Virgin Atlantic team must confirm a few details about your device to ensure they store your electric mobility aid safely onboard. This information includes the manufacturer’s name, model name, weight - including batteries and battery type (as not all battery types can be accepted). There are complex safety regulations regarding these items, and if your electric mobility aid does not comply with these, Virgin Atlantic will not be able to transport it.
• Walking sticks, crutches and walking frames: If you are travelling with a smaller mobility aid (like a walking stick, crutches, or a small walking frame) there's no need to contact the Virgin Atlantic special assistance team in advance. Mobility aids such as walking sticks can be taken on the aircraft free of charge and will not count towards your free baggage allowance, unless they’re being carried on behalf of someone who’s not travelling. You can usually take mobility aids into the cabin with you. On occasions where there’s nowhere in the cabin to store them, the cabin crew will need to place them in the hold. If this is the case on your flight, the crew will be happy to help you get about the cabin as needed.
• Bringing your own seating support: If you or someone you’re travelling with is looking to use their own seating support on the flight, please contact the Virgin Atlantic special assistance team as early as possible, but at the very latest 72 hours before your flight by completing the below online form. Virgin Atlantic permits a variety of seating supports to use onboard their flights. When you contact the special assistance team please provide the following information: Manufacturer’s name, model name, dimensions of the seating support. The team will then check if the support is safe to use onboard the flights, then providing it is cleared, you can use it during your journey. Please note that some seating supports can only be used on certain seats (in a back row for example) and this is why it is required to let the special assistance team know before your flight if you need to use your own seating support onboard.

While Virgin Atlantic always takes good care of your equipment, it’s still a good idea to make sure it’s insured against loss or damage.

To complete the form, you will need the Virgin Atlantic booking reference, which is listed as ‘airline check-in reference number’ on your travel vouchers and ticket documents from Destination2 under ‘Your Flights’.

Middle names are not required for travel, and therefore do not need to be on your booking. You can, however, add middle name(s) to the secure flight information (API) when completing your online check-in before departure. First and last names must match the identification documents being used for travel.

Additionally, if you have a hyphen or apostrophe in your name, in your booking and e-ticket the names will appear joined together as the airline reservation systems can't show the hyphen/apostrophe. The same happens with double-barrelled names or spaces between two names. Airport security and passport control staff are familiar with this and there is no need to worry about it.

If you entered multiple first names, or multiple family names for a passenger, it is entirely normal for the names on the ticket to be joined together, even if you had entered them separately when booking online. For example: If you entered Mr John Adam Smith when booking online, your ticket will show the name as SMITH/JOHNADAMMR. This is standard airline industry practice, and you will not experience any issues.
